These Terms and Conditions apply to Helmeringhausen Hotel & Guest Farm and include important information regarding room amenities, check-in and check-out times, and other relevant policies.
Please note: Each Accommodation Type may have differing Policies and Terms & Conditions. Please make sure you read the correct section for what you are booking for.

By sending a booking request / paying for your booking or entering the premises you automatically agree to these policies and terms & conditions.

GENERAL TERMS AND CONDITIONS (UNIVERSAL)

These apply to all guests and sections of the terms and conditions regardless of accommodation type or being a walk-in or day visitor.

Reservation Policy

To ensure a smooth booking process, please take note of the following reservation terms:

  • A quotation is a non-binding offer, and all bookings—including, but not limited to, hotel rooms, campsites, and adventure camps—are subject to availability and will only be secured upon receipt of full payment.
  • All bookings and changes must be submitted in writing.
  • A 100% deposit is required to confirm your booking.
  • If no deposit is received within 48 hours, we cannot hold the reservation for you.
  • The balance payment must be done in full prior to arrival.
  • We will gladly confirm your booking once funds received in full and upfront. Unfortunately unpaid booking requests will no longer taken into consideration and remain unconfirmed.
  • Companies: Full payment must be done 7 days prior to arrival, or a Company order in writing.

A N$ 100.- fee will be charged for the first hour after 10:00, after one hour the full rate for one night.

Electricity & Wifi

Helmeringhausen Hotel is committed to sustainability and operates entirely on solar power as our sole source of electricity. As such, our electrical supply is limited, and we kindly ask for your cooperation in helping us preserve energy.

Please note the following:

  • WiFi Access: Complimentary WiFi is available for over-night hotel guests. However, please note that the signal does not extend to the guest rooms. It is accessible in the Restaurant and Beer Garden areas only. Unfortunately, WiFi access is not available for day visitors or restaurant-only guests.
  • Strictly no external electrical connections: Running power cables from guest rooms to vehicles, campsites or other external devices—such as fridges or electrical appliances of any kind—is strictly prohibited, regardless of whether the device is low or high energy-consuming.

We thank you for supporting our eco-friendly efforts and for your understanding.

Pool Access

The hotel’s swimming pool is available to all overnight guests (excluding day visitors or restaurant-only guests) during daylight hours.

Guests are asked to:

  • Be respectful of others.
  • Supervise children at all times—children are not permitted to use the pool unattended.
  • Refrain from swimming if you are not a confident swimmer, as no lifeguard is on duty.
  • Use of the pool is at your own risk.

Pet & Service Animal Policy

Hotel-owned dogs may be present on-site. In consideration of this, as well as the surrounding wildlife, a strict no-pet policy is enforced. The only exception is for certified guide dogs or service animals.

Please note that pets and animals of any kind are not permitted on the premises. This includes—but is not limited to—dogs, cats, birds, and other domestic animals. 

Only certified guide or service animals are allowed, in accordance with applicable laws.

We are committed to ensuring that all guests feel welcome, including those accompanied by service animals. However, due to the presence of hotel-owned dogs and the surrounding wildlife, we kindly ask that guests staying overnight with a service animal inform us in advance of their arrival. This allows us to make the necessary arrangements, such as keeping our hotel dogs at home, to help ensure a safe and comfortable environment for the service animal and its handler.

While we will do our best to accommodate service animals safely, please understand that:

  • The environment may still pose risks due to wildlife and terrain, and
  • We cannot guarantee the safety of service animals on the property and
  • Helmeringhausen Hotel will not be held liable for any incidents, injuries, or distress involving service animals during your stay.

We appreciate your understanding and cooperation in helping us maintain a secure and welcoming atmosphere for all guests—both human and service animal companions.

Food & Drink Policy

Strictly no own food or drinks allowed in our Restaurant & Beer Garden.

  • We ONLY do traditional Namibian farm-style cooking. We do NOT cater for other cultures rituals and cooking methods.
  • The hotel is not self-catering. Cooking or food preparation in guest rooms is strictly prohibited.
  • All our prices for hotel bookings, unless specified otherwise, include dinner & breakfast.
  • Drinks are not included in any prices unless stated otherwise.
  • No refunds or payouts will be issued for unused or skipped meals, regardless of guest preference, late arrivals, early departures, or changes in travel plans.
  • Meals are non-transferable and must be consumed on the premises, in designated dining areas and during official service hours.
  • All menu items and prices are subject to change without prior notice.
  • Smoking is prohibited inside the restaurant except in designated outdoor areas.
  • Intoxicated guests may be refused service and asked to leave.
  • In accordance with Namibian law, no alcohol may be served on public holidays or Sundays without meals.
  • In accordance with Namibian law, no alcohol may be served to guests under the age of 18 years.
  • The hotel reserves the right to refuse alcohol service to any guest who is intoxicated or behaving inappropriately.
  • Food allergies and dietary restrictions should be told to the kitchen before ordering from the day menu, or for dinner & breakfast bookings, mentioned well before arrival however, no compensation will be issued for limited dining options.. While reasonable efforts will be made, the hotel cannot guarantee an allergen-free environment.
  • Day menu orders are available from 06:00 - 18:00.
  • Breakfast is served between 06:00 – 09:00. If you or your group plan to depart before 06:00 in the morning and therefore not able to have breakfast with us, please inform us about this arraignment on or before arrival – so that we can pre-pack a wonderful breakfast packet for you. Kindly note that we do not provide a toaster for self-use at breakfast.
  • Dinner is a 2-course set menu, and starts at 19:00. Dinner does not include drinks nor can items of food be traded for drinks or other items. Dinner is dine-in only; strictly no takeaway or packaging of dinner meals is permitted.
  • Corkage fee - Guests wishing to bring their own drinks are welcome to do so; however, a corkage fee will be charged.
  • Packed lunches can be arranged in advance only and are charged per person. These must be booked and paid for ahead of time.
  • No own food or drinks are allowed to be consumed in our Restaurant & Beer Garden. You will be kindly asked to settle any outstanding bills and leave the premises.

Damage Policy & Theft Policy

Damage Policy

Any damage to or breakage of property, facilities, or guest amenities during your stay—or during the stay of any guests booked through a tour operator—must be reported and settled in full upon departure.

In the event that payment is not made at the time of departure, you and/or your tour operator hereby authorize Helmeringhausen Hotel to charge the amount due to the credit card provided at the time of booking. If no card details are available, an invoice will be issued to the registered email address and must be settled by the due date indicated. Failure to do so may result in legal action.

Guests are responsible for inspecting their room upon arrival and reporting any existing damage or breakage to reception immediately after check-in. If damage is not reported at this time, it will be assumed to have occurred during your stay, and you and/or your tour operator may be held responsible for the cost of repairs, replacements, and/or any loss of revenue resulting from the damage.

Please note that while you may also inform your tour operator of any issues, this does not replace the requirement to report such matters directly to reception. If damage is only reported to the tour operator and not to reception, it will still be considered your responsibility.

In cases where a guest refuses to accept liability for damage caused, the associated tour operator (if applicable) will be held responsible. Failure to cover these costs—by either the guest or the tour operator—may lead to legal action. Additionally, both the guest and/or the tour operator may be blacklisted from the Helmeringhausen Hotel, Restaurant, and Beer Garden, as well as any affiliated businesses or properties.

We appreciate your cooperation in helping us ensure a high-quality experience for all our visitors.

Theft Policy

Helmeringhausen Hotel maintains a zero-tolerance policy toward theft of any kind. Guests are expected to respect all property belonging to the hotel, its staff, and fellow guests.

Any guest found to be in possession of hotel property without authorisation will be subject to immediate action. This may include, but is not limited to:

  • Immediate eviction from the property without refund
  • Providing full financial compensation for the stolen or missing items
  • Reporting of the incident to local authorities for further legal action

We reserve the right to charge the credit card on file for the full replacement cost of any items found to be missing or damaged due to theft, either during or after a guest’s stay. In cases where no payment method has been provided, an invoice will be sent, and failure to settle the amount may result in legal proceedings.

Helmeringhausen Hotel also reserves the right to ban guests involved in theft from making future reservations at the property and entering the premises.

Lost & Found Policy

Items left behind by guests will be safely stored by Helmeringhausen Hotel for a period of up to three (3) months from the date of departure.

If you believe you or your clients have left an item behind, please contact us as soon as possible with a detailed description of the item. We will do our best to locate and secure it for you. However, please note that Helmeringhausen Hotel is not responsible for any items left behind but we will make every effort to assist where we can.

If a contact number is provided at the time of booking or check-in, we will make an effort to reach out regarding any valuable items found. If no contact number is provided and the guest does not initiate contact, we will attempt to reach you, the tour operator, to facilitate the return of the items.

  • Guests are responsible for arranging and covering the cost of return shipping, if applicable.
  • After the 3-month holding period, any unclaimed items will be considered abandoned and may be donated, discarded, or repurposed at the hotel’s discretion.
  • Perishable items will be disposed of if not claimed within 24 hours of departure.

Helmeringhausen Hotel accepts no responsibility for items that are lost, damaged, or unclaimed, either before or after the expiration of the holding period.

Liability Disclaimer

Helmeringhausen Hotel, its management and employees shall not be held liable for any loss, damage, injury, or death sustained by guests, their clients, or their belongings during their stay, howsoever caused, including but not limited to:

  • Accidents or injuries occurring on the hotel premises (including rooms, public areas, gardens, and surrounding property)
  • Theft, loss, or damage to personal belongings, valuables, vehicles, or equipment
  • Acts of nature, wildlife encounters, or environmental hazards
  • Illness, food allergies, or reactions not disclosed prior to meal preparation
  • Incidents resulting from the behaviour of other guests or third parties

Guests are strongly advised to take appropriate precautions and ensure the security of their personal belongings at all times.

By staying at Helmeringhausen Hotel, you and your clients acknowledge and accept these terms and release the hotel, its owners, employees, and affiliates from any liability or claims that may arise during or after your visit.

Right of Admission Reserved

Helmeringhausen Hotel & Guest Farm is private property. 

As such, the right of admission is strictly reserved.

We reserve the right, at our sole discretion, to deny or revoke access to the property, facilities, or services at any time and without prior notice. This may apply to any individual or group whose actions, behaviour, or conduct are deemed inappropriate or unacceptable. Reasons for refusal or removal may include, but are not limited to: 

  • Disorderly, disruptive, abusive, aggressive or offensive behaviour toward staff, other guests, or property.
  • Non-compliance with the property’s rules, terms, conditions and policies, or instructions from authorised personnel and/or management.
  • Behaviour that may pose a risk to the safety, security, comfort, or well-being of other guests, staff, or the property.
  • Damage to property or facilities, whether intentional or due to gross negligence.
  • Violation of applicable laws or regulations while on the premises.
  • Possession, use or distribution of illegal substances or prohibited items on the property.

This policy is enforced at the sole discretion of the owners or designated management. Any guest or visitor asked to leave the premises under this clause shall not be entitled to a refund, credit, or compensation of any kind and may be held financially responsible for any resulting damages or losses. 

Changes to Terms

  • Helmeringhausen Hotel and Guest Farm, Restaurant & Beer-Garden reserves the right to amend these terms and conditions without prior notice.
  • The latest version will be available on our website or upon request.

Cancellation Policy for Hotel Bookings

The following cancellation fees will apply based on the number of days prior to the scheduled arrival date:

  • 45 - 30 days prior arrival date 25% service fee of full invoice amount
  • 29 - 16 days prior arrival date 50% of full invoice amount
  • 15 - 8 days prior arrival date 75% of full invoice amount
  • 7 - 1 days & NO SHOW & EARLY DEPARTURE 100% of full invoice amount
  • An administrative fee of 15% will be charged to each refund as applicable before 45 days

Please note that the aforementioned cancellation fee will remain applicable regardless of any circumstances, including but not limited to the Coronavirus pandemic or other global crises.

Please note: Tourist Travel insurance should cover possible Covid-19 related situations when the clients are travelling.

Single Room Use

Single rooms are strictly reserved for the use of one (1) guest only. If an additional guest arrives intending to share a single room, the reservation will be automatically reclassified as a double/twin room, and the additional guest will be charged the applicable double/twin room rate for one person.

No refund or deduction will be made from the original single room rate already paid, even if it exceeds the per-person rate of a double/twin room. Guests who do not comply may be refused check-in or required to pay the additional charge immediately upon arrival, with no refunds issued.

Maximum Occupancy Limits

All rooms have strict occupancy limits

Single rooms: Maximum one (1) person

Double/twin rooms: Maximum two (2) persons

  • Double Room refers to a room with one double bed.
  • Twin Room refers to a room with two single beds.

Family Room: Only for families with children younger than the age of 12 years

There are two family rooms available:

  • Family Room (3+1): maximum three (3) persons plus one (1) infant under 2 years
  • Family Room (4): maximum four (4) persons

Children Policy

  • Children aged 0 - 2: stay with one paying adult free of charge; baby cot will be provided.
  • As from the age of 3 to 11 years, family rooms are available at full family-room-rate per child and adult.
  • Children as from the age of 12 will be handled as adults and are at full accommodation rate; no family room occupation possible.

Family rooms are strictly reserved for families with children under the age of 12.

If a booking is made for a family room under the pretence of traveling with children under 12 and guests arrive without children, the hotel reserves the right to:

  • Cancel the original booking, with no refunds, and
  • Require the guest(s) to rebook at the full rate for a standard single or double/twin room.

This policy is clearly stated across all booking platforms. Guests who attempt to bypass this restriction by providing false information may be denied check-in or required to pay additional charges.

Extra Guests, Floor Bedding & Sleeping Arrangements

Guests are not permitted to add bedding, mattresses, sleeping bags, or any form of temporary sleeping arrangements in any room. Floor sleeping is strictly prohibited. The hotel does not provide or allow extra beds in rooms that have reached their occupancy limit.

Visitors and Unregistered Guests

Visitors are not permitted in guest rooms at any time unless prior approval has been arranged with hotel management. Exceptions may be made in the event of an emergency; however, this must also be cleared with management before any access is granted. Unauthorized visitors or overnight guests are not allowed and may result in action being taken against the booking guest, including additional charges or removal from the property.

Policy Violations

Any violation of the room occupancy or guest policy may result in:

  • Additional charges
  • Immediate cancellation of the reservation without refund
  • Removal from the property at the discretion of hotel management

The hotel reserves the right to enforce these policies in the interest of guest safety, comfort, and compliance with safety and insurance regulations.

Dinner is 2-course set menu and served at 19:00. 

If you have any dietary restrictions/allergies (vegetarian/vegan/gluten free) please let us know well in advance so we can prepare an alternative meal plan for you. While reasonable efforts will be made, the hotel cannot guarantee an allergen-free environment.

We do not do exclusive dishes and do not cater for other culture rituals and cooking methods. We serve homemade, fresh farm-style meals that are simple, healthy and delicious.

Dinner does not include drinks nor can items of food be traded for drinks or other items.

Dinner is dine-in only; strictly no takeaway or packaging of dinner meals is permitted.

Please be aware a corkage fee will be charged for your own wine/drinks.

Breakfast

Breakfast is served between 06:00 – 09:00. 

If you plan to depart before 06:00 in the morning and therefore not able to have breakfast with us, please inform us about this arraignment on or before arrival – so that we can pre-pack a wonderful breakfast packet for you.

Kindly note that we do not provide a toaster for self-use at breakfast.

Day Menu

You can order off our day menu from 06:00 - 18:00, after that there will be no orders taken from our day menu.

Please ensure all items are collected before your departure, as the hotel is not responsible for unclaimed goods. We have a limited amount of hairdryers and can provide them on request if available. Superior rooms have hairdryers provided.

Climate comfort: 

While our rooms are not equipped with air conditioning, fans are provided during the summer months. In winter, hot water bottles are available and can be filled at reception. Kindly return these bottles before departure, and please do not take them home.

Pool Access:

WiFi Access: 

Complimentary WiFi is available for hotel guests. However, please note that the signal does not extend to the guest rooms. It is accessible in the Restaurant and Beer Garden areas only.

Strictly no external electrical connections:

Running power cables from guest rooms to vehicles, campsites or other external devices—such as fridges or electrical appliances of any kind—is strictly prohibited, regardless of whether the device is low or high energy-consuming.

Room amenities: 

Hotel rooms do not include fridges, microwaves, kettles or hairdryers. However, you are welcome to request storage for refrigerated or frozen items at reception, subject to available space. Please ensure all items are collected before your departure, as the hotel is not responsible for unclaimed goods. We have a limited amount of hairdryers and can provide them on request if available. Superior rooms have hairdryers provided.

Climate comfort: 

While our rooms are not equipped with air conditioning, fans are provided during the summer months. In winter, hot water bottles are available and can be filled at reception. Kindly return these bottles before departure, and please do not take them home.

Pool Access:

The hotel’s swimming pool is available to all overnight guests (excluding day visitors or restaurant-only guests) during daylight hours.

Guests are asked to:

  • Be respectful of others.
  • Supervise children at all times—children are not permitted to use the pool unattended.
  • Refrain from swimming if you are not a confident swimmer, as no lifeguard is on duty.
  • Use of the pool is at your own risk.

Each campsite offers braai/barbecue facilities, a sink, private seating areas, and natural shade provided by trees, ensuring a comfortable and enjoyable outdoor experience.

Ablution Facilities:

Campsite guests have access to shared ablution facilities, which include toilets (WC) and hot showers. Showers are available on request in the late afternoon, heated by a traditional donkey boiler between 18:00 and 19:00.

Please note that no hot water is available in the mornings.

Pool Access:

The hotel’s swimming pool is available to all overnight guests (excluding day visitors or restaurant-only guests) during daylight hours.

Guests are asked to:

  • Be respectful of others.

By using the facilities, services, equipment, and premises of Helmeringhausen Adventure Camp, including but not limited to Helmeringhausen Hotel and Helmeringhausen Guest Farm, and by participating in any of the camp’s programs or activities, you acknowledge and accept that such use and participation involve inherent risks. These risks may include, but are not limited to: Mild to severe personal injury, Property damage or loss, Temporary or permanent disability, Illness, including infectious diseases (such as COVID-19 and its variants) and/or Death.

You voluntarily assume full responsibility for all such risks, whether foreseen or unforeseen, and acknowledge that you understand the nature and extent of the potential dangers involved. You agree to participate and make use of the facilities entirely at your own risk.

Table Booking – Day Menu Option

Table bookings are not set menu lunch bookings.

This option simply reserves a table, with guests ordering à la carte from the day menu.

You may pre-book a table and order from our day menu on arrival. Alternatively, the guide may send a WhatsApp message with the group’s order the evening before or morning of arrival to assist with preparation. Please include ETA with any order to help our kitchen time preparation.

Pre-Order Terms & Conditions:

  • Any changes to the order upon arrival may incur additional charges.
  • Payment must be made on the same day, either by the guide or guests, before departure.
  • Clients are responsible for requesting the most up-to-date menu and pricing before arrival. We are not liable for discrepancies due to outdated menus.
  • All other hotel policies, including food and drink policies, apply.
  • There is no Wi-Fi available for restaurant guests.

Important Notices

  • Sending a WhatsApp order and not arriving/cancelling last minute will result in the group/company being blacklisted from future bookings.
  • Tour guides and drivers are not automatically free of charge – please confirm when booking.

Food Allergies & Dietary Restrictions

  • Food allergies or dietary restrictions must be communicated to the kitchen before ordering from the day menu (if ordering on arrival/pre-ordering from the menu). It is your responsibility to ask if you are unsure of a food item.

Food & Drink Policy

Strictly no own food or drinks allowed in our Restaurant & Beer Garden.

  • We ONLY do traditional Namibian farm-style cooking. We do NOT cater for other cultures rituals and cooking methods.
  • The hotel is not self-catering. Cooking or food preparation in guest rooms is strictly prohibited.
  • All our prices for hotel bookings, unless specified otherwise, include dinner & breakfast.
  • Drinks are not included in any prices unless stated otherwise.
  • No refunds or payouts will be issued for unused or skipped meals, regardless of guest preference, late arrivals, early departures, or changes in travel plans.
  • Breakfast and Dinner meals are non-transferable and must be consumed on the premises, in designated dining areas and during official service hours.
  • Please note that take-away service is limited to items from the day menu only.
  • All menu items and prices are subject to change without prior notice
  • Smoking is prohibited inside the restaurant except in designated outdoor areas.
  • Intoxicated guests may be refused service and asked to leave.
  • In accordance with Namibian law, no alcohol may be served on public holidays or Sundays with out meals.
  • In accordance with Namibian law, no alcohol may be served to guests under the age of 18 years.
  • The hotel reserves the right to refuse alcohol service to any guest who is intoxicated or behaving inappropriately.

  • Food Allergies & Dietary Restrictions: Please kindly note that any food allergies or dietary restrictions must be communicated to the kitchen before ordering from the day menu, and for hotel bookings, these must be shared well in advance of arrival. While we will always make reasonable efforts to accommodate dietary needs, the hotel cannot guarantee an allergen-free environment. For group bookings, whether for lunch or overnight stays, we unfortunately cannot guarantee that we will be able to accommodate dietary restrictions if we are only informed upon arrival or when guests walk in for a meal. To ensure the best possible experience and avoid disappointment, we kindly request that all dietary requirements be submitted along with the booking request or, for tour operators, the rooming list (for overnight stays) or the final pax count (for lunch bookings) no later than 2 weeks prior to arrival. Thank you for your understanding and cooperation.
  • Day menu orders are available from 06:00 - 18:00.
  • Breakfast is served between 06:00 – 09:00. If you or your group plan to depart before 06:00 in the morning and therefore not able to have breakfast with us, please inform us about this arraignment on or before arrival – so that we can pre-pack a wonderful breakfast packet for you. Kindly note that we do not provide a toaster for self-use at breakfast.
  • Dinner is a 2-course set menu, and starts at 19:00. Dinner does not include drinks nor can items of food be traded for drinks or other items.
  • Corkage fee - Guests wishing to bring their own drinks are welcome to do so; however, a corkage fee will be charged.
  • Packed lunches can be arranged in advance only and are charged per person. These must be booked and paid for ahead of time.
  • No own food or drinks are allowed to be consumed in our Restaurant & Beer Garden. You will be kindly asked to settle any outstanding bills and leave the premises.

WiFi

There is currently no WiFi available for Restaurant guests and day visitors due to limited availability.

Walk-Ins

  • Walk-in guests are welcome subject to availability.
  • During busy periods, walk-in guests may experience wait times or limited seating options.

 Children

  • Children are welcome and should be supervised at all times.
  • A high chair may be available upon request.

Pool Access

The pool is exclusively for the use of overnight hotel guests. Unfortunately, day visitors and restaurant guests are not permitted to use the pool.

Pet Policy

  • Pets are strictly not allowed on the premises.
  • Please note: Hotel-owned dogs may be present on-site. In consideration of this, as well as the surrounding wildlife, a strict no-pet policy is enforced.
  • The only exception is for certified guide dogs or service animals.

Conduct

We kindly ask all guests to treat our staff, fellow diners, and property with respect and courtesy at all times. This helps us maintain a welcoming and enjoyable atmosphere for everyone.

Unruly, aggressive, or disruptive behaviour—including excessive noise, harassment, intimidation, or any form of discrimination—will not be tolerated. Such conduct may result in immediate refusal of service and, if necessary, removal from the premises without refund. All outstanding bills must be settled in full, and failure to do so may result in legal action.

We reserve the right to take appropriate action to ensure the safety and comfort of all our guests and staff. Your cooperation in creating a pleasant dining environment is greatly appreciated.

Right of Admission

We reserve right of admission. Helmeringhausen Hotel & Guest Farm is privately owned and any person who we, the owners, perceive as rude or out of order, can be asked to leave immediately, without prior notice.

Lost and Found

Lost & Found: Guests are kindly requested to ensure all personal belongings are collected upon departure. Items left behind will be stored for a period of three months and may be returned upon request at the guest's expense and risk. After three months, unclaimed items will be disposed, and the hotel will not be held liable for any loss or damage.
